Shearings Holidays, the coach-based UK leisure company, wanted to automate the reporting of tachograph data from its fleet of 240 vehicles. Processing reports on the company’s 450 drivers was taking up to 6 to 7 hours to complete under its existing system.
Shearings turned to Exentra (now Descartes) for the Smartanalysis solution. With smartanalysis, the tachograph data reports now take five minutes to process. Shearings has gained better control over its management information and finds it easier to respond to queries from its customers and monitoring by the UK’s Vehicle and Operator Services agency (VOSA).
Shearings’ transport managers now have access to automated reports on tachograph data from the company’s 450 coach drivers.
“Processing reports on the company’s 450 drivers was taking up to 17 hours to complete under our former system. If we started at 4p.m., they would be ready at 9 a.m. the next day. The new system is much more user friendly. Processing tachograph information now takes around five minutes with smartanalysis. Previously, reports were all on paper and it could take four to eight days before you saw them.”

Shearings is better equipped with Smartanalysis to sustain its enviable reputation for customer safety and high standards of fleet management. With the old system a customer complaint or inquiry from the regulator, VOSA, might take weeks to check out and investigate. Wharmby says: “We now have a very good tool to respond to any issues that may arise over drivers’ hours. It has enabled us to get at the information we really need rather than search through reams of paper. We can pick up almost immediately if a driver has not been taking the correct number of breaks and bring that to the attention of both drivers and depot managers.”
The reports produced by Smartanalysis for Shearings satisfy all the requirements for the Drivers’ Hours Law and will accommodates combined analogue and digital reporting.
